What is MindQuire?

MindQuire is an online service that helps therapists and their patients succeed. MindQuire is composed of several activities where patients can practice the skills they learn in therapy, monitor their progress and keep their therapist updated. Therapists can customize the activities each client encounters in the Activity Center and then they can monitor their patients' work and progress. MindQuire also allows therapists and their clients to send each other secure, HIPAA-compliant messages. MindQuire helps therapeutic relationships succeed by fostering communication and therapeutic work during sessions and in between sessions.


Who can use MindQuire?

MindQuire is designed to be used by both Therapists and Patients of psychotherapy. Patients may either be referred by their therapist, or they may register for MindQuire independently.

Therapists

Any professional with an unrestricted license in her/his state to practice psychotherapy or medicine can sign-up with MindQuire and offer this service to his/her clients. MindQuire can be used by licensed counselors, psychologists, psychiatrists, social workers, marriage and family therapists, primary care physicians and other physicians.

Referred Patients

Patients and clients can use MindQuire when they have been referred by a licensed professional that has registered with MindQuire and that will monitor their use of the activities MindQuire offers. In order for a patient/client to create an account in MindQuire, they will need a "therapist code" that they can obtain from their therapist.


What is a therapist's code?

Therapists that register with MindQuire are given a Therapist Code which they provide to their patients. This code links the patient account to the therapist, so the therapist can monitor the entries of his/her patients into the different activities offered by MindQuire.

How do therapists find the information entered by their clients?

Every time a client creates an account in MindQuire, this new client will appear in the therapist's dashboard. This new client's information will be under his/her username. The client/patient may need to let the therapist know what his/her username is so that the therapist can identify them. The therapist needs to simply click on a username to access all that patient/client's data.

Patients are identified in their therapist's dashboard by their username. What can a therapist do if usernames the therapist doesn't recognize show up in his/her dashboard?

Only patients that the therapist has invited and that use the confidential therapist code when logging in will appear in the therapist dashboard. If the therapist doesn't know to whom a username belongs, they should first check with the patients they have recently invited to use MindQuire to confirm the username doesn't belong to them. If the therapist confirms that somebody other than his/her patients has created an account linked to his/her name, the therapist should delete that patient from his/her dashboard. This will cause this patient not to be able to use MindQuire until they are working with a MindQuire-registered therapist. Since the confidentiality of this therapist's "therapist code" may have been compromised, s/he has to change his/her therapist code under "manage account". They do not need to notify their existing patients of this change, but they need to start using this new "therapist code" when they invite new patient to MindQuire.

Do clients set up their username and password for themselves or are they automatically generated?

Clients set up their own username and password. MindQuire uses the highest standards of online security and privacy and complies with HIPAA, HITECH and PCI laws. But even the highest standards of online security are subject to risks. The only people that ever need to know that the information entered belongs to a specific person are the client himself and his/her therapist.

How long is the data stored?

All data is stored indefinitely. Therapists will continue to have permanent access to historical entries from all their patients. Since therapists may use the information entered by their patients in order to provide mental health services, they will be able to keep these records in secure electronic files for future reference. The therapists are required by law and by their contractual agreement with MindQuire to comply with HIPAA and HITECH laws in regards to safeguarding these data.

Can children use MindQuire?

No. MindQuire is designed for people who are under the care of a licensed therapist, and who are 18 or older. If a Member is under the age of eighteen (18), the Member must have written consent from a parent or legal guardian and will be using MindQuire under supervision. Absolutely no one under age 16 should access MindQuire. If a Member using MindQuire is under the age of 18, a written consent to use MindQuire from a parent or legal guardian must be obtained by the therapist.

Can MindQuire replace a therapist?

No. MindQuire is not a new type of psychotherapy and it doesn't replace the role of a therapist. MindQuire is a new technology that replaces the role of a workbook. With MindQuire patients will be able to record their experiences, stressful situations, related emotions and thoughts in a structured and interactive application that has many important advantages over any such recording with pen and paper.

How can a therapist invite clients to use MindQuire?

Therapists need to instruct their patients to visit www.mindquire.com and create a new patient account.

The therapist needs to give the patient a "therapist code" that is required from patients during the registration process. Therapists should avoid ever writing their therapist code in an email, and should at all times treat the therapist code confidentially, so that only their patients can use it to create accounts under their names.

Can MindQuire entries be used as "calls for help"?

No. Clients/patients should never make any entry into any MindQuire application assuming that anybody will be able to read it. Therapists WILL NOT be instantly or promptly aware of any information entered by their patients. The only information entered in MindQuire that clients can be certain his/her therapist will be aware of is the information discussed with the therapist personally. If clients/patients ever have thoughts about suicide they should talk to their therapist or contact 911 or the National Suicide Prevention Lifeline at 1-800-273-8255 immediately.

How can therapists or patients terminate a relationship in MindQuire?

When a patient-therapist relationship in MindQuire is terminated:

  1. The patient and therapist will no longer be able to send or receive messages to/from each other through MindQuire.
  2. The patient will have the option to continue using MindQuire as an individual subscriber.
  3. The patient is still and will always be able to see his/her own previously entered information.
  4. The therapist will no longer see this patient as an active patient in the therapist dashboard.
  5. The therapist will now be able to access the information previously entered by this patient in a section for inactive patients (historic data that can no longer be changed). The therapist should treat this information as any other patient record and comply with relevant laws (i.e. HIPAA).
  6. When the patient finds a new MindQuire-registered therapist and starts entering new information, the "old-therapist" will not have any access to the new information, which will only be viewed by the patient himself and the new therapist.

If a patient starts with a new therapist, is s/he able to view his/her entries made when working with a previous therapist?

When the patient has a new MindQuire-registered therapist s/he can start entering information again. S/he can choose to reactivate a previous account (and give access to the new therapist to the old and the new information) or they can start a new account with no previously recorded data (and give access to the new therapist only to the new information). If the patient chooses to start a new account they will still be able to see their previous account, but all the information in this previous account will not be integrated with the new information.

If the patient and previous therapist decide to reactivate their relationship in MindQuire, they will have access to historical/old information by default.

Can homework be shared with other therapists for a consult?

Only one MindQuire-registered therapist can access a client's information at a time. If clients want to share any information with other providers they can print the needed reports and give them to the other provider.

Is my information kept confidential?

We take great care in maintaining the security of your information, and preventing unauthorized access to it, through the use of commercially reasonable technology and internal procedures.

In order to further ensure the confidentiality of all our data, we employ SSL and 256-bit encryption for submissions, email addresses, site-based messages, passwords, and credit card transactions. This means that when you upload information, this information is encrypted to help prevent access by unauthorized users. Please refer to our Privacy Policy for additional information.

Our goal is to provide a safe and secure community where therapists and patients/clients can feel comfortable sharing information. In order to help us keep your information confidential, make sure that no submission to the website, including submissions made through the MindQuire application and submissions made to the public pages of our website, make reference to any person or company, or provide any other personally identifiable information about any person or entity.

Are patients' accounts anonymous?

We do require patients to provide an email address. Their email address is treated with the highest standards of privacy and security and we only use them in the event they need to reset their login information.

How do potential new clients find a therapist in the MindQuire Directory?

Therapists can choose to join the MindQuire Therapist Directory for free when they create their MindQuire account. They can also join the directory or update their information at any point by going to Manage Account.

Therapists choose what contact information they display in the directory.

Therapists can also upload their picture, link to their own website and describe their practice philosophy and expertise.

Patients that visit the MindQuire website and are interested in using our many tools and activities can find a participating therapist in our therapist directory.

How do potential clients communicate with a therapist they find in the MindQuire Directory?

Therapists choose what contact information they display in the directory.

If the therapist lists a phone number, patients will be able to call that number directly.

We will not list the therapist's email in the directory. Instead, patients will be able to fill out a form that will include the potential client's contact information and a message for the therapist. MindQuire will forward these messages to the therapist personal email account.

What is the purpose of MindQuire's encrypted messaging system?

MindQuire offers an encrypted messaging system for patients and therapists to communicate. This messaging system is NOT meant to be used for doing therapy. Therapists and patients are encouraged to use the encrypted messaging system instead of their personal emails for administrative purposes, like scheduling appointments.

MindQuire will also use this private messaging system to contact therapists and patients. MindQuire will only send messages to our users according to our privacy policy.

Who can send and receive messages through MindQuire's encrypted messaging system?

Therapists can only send messages to their clients' MindQuire accounts and to MindQuire support team.

Patients can only send messages to their therapist's MindQuire account and to the MindQuire support team.

MindQuire can also send messages to therapists or clients (for example if we need to notify users of new features or updated policies).

It is not possible to send messages from MindQuire's encrypted messaging system to personal email accounts.

Why is the encrypted messaging system optional?

We believe our encrypted messaging system is a valuable service for therapists that communicate with their patients/clients via email. MindQuire encrypted messaging system offers a level of privacy and internet security that regular email services don't provide.

Some therapists may prefer not to communicate with their patients electronically and choose not to offer our messaging system to their patients.

Therapists may be concerned that by offering this service they will have yet one more inbox to check for new messages. We do display a clear sign in the MindQuire therapist's dashboard whenever they have a message waiting and we send an email to the therapist's personal email address notifying them when they have a new message in their MindQuire messaging system.

Can the activities be customized?

Therapists can add or remove activities from their clients/patients' dashboard depending on which activities they recommend their patients do.

Therapists can also customize which emotions their patients will track when recording their daily activities on the Daily Acts.

Patients can add descriptions of emotions to the Stress Log. If patients don't find an accurate description of the emotions they feel when recording a Stress Log they will be able to add their own description to the list of emotion-buttons.

Can patients/users contact MindQuire for technical help?

Yes. We'd love to hear your feedback and questions regarding technical aspects of how to use our services, such as how to input or save information, or use our tutorials or examples. We don't provide psychotherapy and cannot accept or answer any questions related to your symptoms or treatment. If you have questions about how to use our activities in order to improve your mental health, you must direct those questions to your therapist.
